How Do You Plan Decorative Window Film for a Tenant Build-Out?
In a tenant build-out, decorative window film is used for privacy bands, logos and lettering, and patterned or gradient film on glass walls and doors. Settle the design and approvals before film is ordered, schedule it after major construction is done, and check the lease. In our experience the film usually stays at lease end.
In a tenant build-out, decorative window film is usually used for privacy bands on office and conference room glass, logos and lettering at the entry and reception, and patterned, gradient or striped film on glass walls and doors. Plan it like any finish: get the design and the approvals settled before film is ordered, schedule it after the glass is in and the major construction is done, and know what happens to it at the end of the lease. In our experience the film usually stays when the lease ends.
Key points
- Common build-out uses: frosted bands, logos and lettering, gradients and patterns, striping on glass walls and doors, and numbers or names on phone booths and meeting rooms.
- Who approves the film varies from project to project: the landlord or property manager, the designer and the tenant can all have a say.
- We create custom decorative designs for the project. Our design scope typically includes one revision, with the exact scope confirmed in the estimate. Cut logos and lettering are made on our own plotter; full-color printed graphics are printed by a specialty print vendor and installed by our crews.
- Warranties for decorative film differ by brand and by type. Printed and cut film can carry less coverage than plain film.
- Decorative films from 3M, SOLYX and Solar Gard that we reviewed test in the ASTM E84 Class A range for flame spread and smoke.
What is decorative film used for in a build-out?
- Privacy: frosted bands or full frost on private offices, conference rooms, nursing rooms and back of house glass.
- Branding: logos and lettering on entry doors, reception glass and conference rooms.
- Design: gradients, stripes and patterns that give glass walls a finished look while keeping light.
- Wayfinding: room names and numbers on phone booths, huddle rooms and conference rooms.

Who approves decorative film?
It is a mix, and it varies by project. The landlord or property manager may need to approve anything that goes on the glass. The designer or architect usually sets the look. The tenant signs off on its logo and the final design. Settle who has the final say before artwork is finished, because a change after film is cut means new film.
How is a custom design made?
We create custom decorative designs for the project from the tenant’s logo and the designer’s direction. Our design scope typically includes one revision, with the exact scope confirmed in the estimate. Cut logos, lettering and patterns are made on our own plotter from frosted or colored film. When a design needs full-color printing, we have it printed by a specialty print vendor and our crews install it.
Seeing the film on the glass helps. For a library in Northern Illinois, we installed mockups of several films side by side before the final choice; see the library gradient privacy film case study. For a larger custom design program, see our Advocate Sherman Hospital case study, with more than 80 decorative and privacy installations, including custom designs we created for hospital hallways.
How do decorative film warranties and ratings compare?
Here is what the manufacturers’ documents we reviewed state:
| Item | 3M Fasara Glass Finishes | SOLYX frosted films | Solar Gard ByDESIGN |
|---|---|---|---|
| Interior warranty | 5 years for most designs, 3 for new designs; shorter on perimeter windows | 5 years interior (Clear Frost, White Frost) | 1 to 7 years depending on the series |
| Cut or printed film | Electronic cutting and printing on a user test and approve basis; no warranty for the quality or durability of printed film | SOLYX offers print and plot, cut to size and custom designs such as gradients, murals and patterns; standard five year warranty on all films | Modern and Print series covered for replacement film only, not labor |
| Fire rating | Class A per ASTM E84 (interior) | Class A per ASTM E84 | ByDESIGN polyester decorative film tested to ASTM E84: flame spread 0, smoke developed 0 (Class A range) |
Ask for the warranty and data sheet for the exact film in your design, especially for printed graphics. For warranties across all film types, see What Does a Commercial Window Film Warranty Cover?
When does film go in during a build-out?
After the glass is in and the major construction is done. Film goes on clean, finished glass, so it follows the glazing contractor. We like to be in the space after the major construction is done, including floors, drywall and ceilings, so dust and debris do not end up under or on the new film. We coordinate the timing with the general contractor or the tenant’s project manager. Like any film, decorative film is checked against the manufacturer’s film to glass guidance first, particularly on outside windows; see Will Window Film Crack Your Glass?
What happens to the film when the lease ends?
In our experience the film usually stays. Check the lease: if it requires the space to be returned to its original condition, plan for removal.
Film can be removed, and how it is done matters. 3M’s Fasara data sheet calls for low heat or an adhesive remover, and notes that removing the film too quickly may leave excessive adhesive on the glass. 3M’s warranty also does not cover adhesive residue left after removal. We also change film when a space is reworked: at one Oak Brook office suite we removed a frosted band in 2024 and installed new film at a different height.

What is the next step?
Gather the floor plan or glass elevations, the logo files and any landlord rules for glass. On a free assessment we look at the glass, bring samples, and turn the design direction into a proof for approval. See our decorative window film service, or request a free assessment.
